As part of the Business Operations, undertake and manage administrative tasks, ensuring staff in the Lithuanian offices have adequate support to work efficiently.

The Office Administrator assists the Global Operations Manager with Lithuania General&Administrative tasks and contributes to driving sustainable growth and transparency in any tasks that she/he carries out.

Our offices are a core pillar in our company culture, therefore, in the role of Office Administrator, s/he should foster company culture and bring it to life.

This is a part-time (75%) on-site position based in Kaunas, requiring 2-3 times per month to visit Vilnius office.

Your responsibilities will be

  • Coordinate office activities to ensure efficiency and compliance with company policies. 
  • Manage health & safety, fire safety documentation, employee training, and health check-ups. 
  • Oversee cleaning staff to maintain a clean and safe working environment. 
  • Collaborate with the Operations Manager to adhere to budget constraints. 
  • Organize and maintain physical documents and correspondence. 
  • Monitor and replenish office supplies, meals, and snacks as needed. 
  • Prepare and submit reports, presentations, and proposals. 
  • Serve as the local point of contact for inquiries and handle phone calls, emails, and packages. 
  • Negotiate contracts and prices with office vendors and service providers. 
  • Organize office layout, order stationery and equipment. 
  • Plan and coordinate events, parties, and meetings for LT employees. 
  • Partner with HR to update and maintain local office policies. 
  • Manage shipments and liaise with Lithuanian customs. 
  • Coordinate CUJO AI branded gadget distribution globally. 
  • Add/remove employees in various systems (Wolt benefits, parking, etc.). 
  • Administer the virtual mailbox and related tasks. 

Required competencies

  • Excellent English, both verbal and written. 
  • Excellent knowledge of MS Office. 
  • Ability to learn new tools and systems that are required to carry out tasks .
